The Facility Coordinator provides critical administrative support of the Facilities Department, and assists with logistics oversight, Building and Equipment Maintenance, customer service, vendor & purchasing relationships, sub-Contractor’s coordination. Most importantly, this position will build strong and respectful partnerships with all Familylinks Employees and Contractors. This position manages the organization’s facilities through preventative and quality assurance support services as required by federal, state, and contract regulations to ensure a safe environment for all staff and clients.

Essential Duties and Responsibilities:

  • Assist in the coordination and dispatch of general maintenance and repairs to maintain the upkeep of agency facilities’ structures in accordance with safety, Code, and contract regulations across multiple Counties or Municipalities.
  • Assist with the organization’s Facility Maintenance Plan and provides necessary project management or coordination for the completion of the plan.
  • Conduct Facility Conditional Inspections at all Familylinks locations and communicate safety concerns to both the Director of Facilities Operations and key individuals.
  • Conduct necessary duties for the Familylinks Health & Safety Committee to include assuming the position of “Co-Chair”.
  • Project Management assistance for all buildings, preparation of cost estimates, obtaining of written bids, contract preparation and coordination through project completions as required for all maintenance work, projects and maintains filing system for bids/warranties.
  • Assist with construction inspections and installation processes.
  • Support fleet vehicle accident investigations, insurance claims, purchase/lease processing, and vehicle safety or maintenance.
  • Coordinate fire and security alarm systems inspections and maintain written documentation.
  • Attend all meetings, supervision and training as deemed necessary.
  • Assume certain duties of the Director of Facilities Operations in their absence.


Requirements


  • Bachelor’s degree and 1 year of experience in Facilities/Operations or Associate’s degree and 3 years’ experience in operations.
  • Another combination of education and experience will be considered.
  • Proficiency in Facilities Management (CMMS) software.
  • Experience in building and equipment maintenance.
  • Knowledge of maintenance planning and scheduling.
  • Ability to respond to building and equipment emergencies.
  • In-depth knowledge of building safety regulations and security protocols.
  • Proficiency in office software, such as Microsoft Office Suite and use via tablet, laptop, and smart phone.
  • Excellent organizational and communication skills.
  • Demonstrated leadership and the ability to work collectively with a broad range of internal and external personnel and businesses/vendors.
  • Ability to maintain OSHA standards and compliance needs.
  • Familiarity with PA Chapter 3800 or Housing & Community Environment regulations is preferred.
  • Ability to review projects including vendor research and bid coordination.
  • Excellent written and verbal skills.
  • Self-directed, flexible with strong problem-solving abilities.
